Villaire Financial, LLC ("Villaire Financial," "we," "us") is a registered investment adviser based in Grand Rapids, Michigan. We owe our clients a fiduciary duty, and keeping their information private is part of it. We hold information from website visitors to the same standard.
This policy explains what information we collect through villairefinancial.com and in the course of working with prospective and current clients, how we use it, who we share it with, and the choices you have. If you are a client, you also received our client privacy notice when you started working with us. If that notice and this page ever seem to conflict, the notice you received as a client controls for your client information, and you can ask us for a current copy at any time.
The short version
- We do not sell your personal information.
- We do not share your information with other companies so they can market to you.
- We have no affiliated companies that we share information with.
- This site uses analytics cookies to understand how it is used. It does not use advertising cookies or retargeting pixels.
- We share client information only with the service providers we need to do our job (like your custodian) and when the law requires it.
Information we collect
Information you give us on this website
When you fill out a form on this site, we collect what you type in. That includes:
- The contact form: your first and last name, email, phone number, the situation you select, your message, and how you heard about us.
- The Financial Wellness quiz: your name, email, your answers to the quiz questions, and your score.
- The mid-year review form (for current clients): your name, email, and what you tell us about life changes and topics you want to cover.
- Booking a meeting: when you schedule through the Calendly calendar on our site, Calendly collects your name, email, and any answers you give, then shares them with us.
Form submissions are delivered to us by email through our email delivery provider. Please do not put account numbers, Social Security numbers, passwords, or trade instructions in a website form.
Information collected automatically
Like most websites, our site and the tools listed below automatically receive technical information when you visit. This can include your IP address, browser and device type, the pages you view, how long you stay, the page that referred you, and your approximate location based on your IP address. We use it in aggregate to understand what content is helpful and to keep the site running well. We do not use it to identify you personally.
Information from clients
When you become a client, we collect nonpublic personal information needed to give you financial advice and manage your accounts. Depending on the services you use, this can include your Social Security number, date of birth, contact details, income, assets, account numbers and balances, tax returns, insurance and employer benefit details, and your goals. We get it from you, from your custodian and other financial institutions with your permission, and from documents you share with us.
How we use information
- To respond to your questions and schedule meetings you request.
- To provide financial planning, investment management, tax, and bookkeeping services to clients.
- To open and service accounts with your custodian and other providers you authorize.
- To send you information you have asked for, and occasional updates from us. You can opt out of non-essential emails at any time.
- To meet our legal and regulatory obligations, including recordkeeping rules for investment advisers.
- To keep the site secure, prevent spam and fraud, and improve our content.
Cookies and similar technologies
A cookie is a small file a website stores in your browser. This site uses a small number of cookies and similar tools for analytics and for features like scheduling and spam protection. We do not use advertising cookies, retargeting pixels, or social media tracking pixels, and we do not sell or share cookie data for advertising. Because of that, we do not show a cookie pop-up. We describe everything here instead.
| Tool | What it does | Cookies |
|---|---|---|
| Google Analytics 4 Google Privacy Policy | Counts visits and shows which pages are useful, how people find the site, and roughly where they are located (city level). We use it in aggregate only. | Yes. First-party cookies named _ga and _ga_*, which last up to 2 years. |
| Vercel Web Analytics Vercel Privacy Policy | Measures page views and site performance. | No. It does not use cookies and does not track you across sites. |
| Calendly Calendly Privacy Notice | Runs the scheduling calendar on our contact and meeting pages. Calendly collects the details you enter when you book. | Yes. Calendly and services it loads (such as Google reCAPTCHA) may set their own cookies inside the booking window. |
| Cloudflare Turnstile Cloudflare Privacy Policy | Checks that form submissions come from a real person and not a spam bot. | It may store a short-lived technical token. Cloudflare says it is not used for advertising or to track you across sites. |
| Google Maps Google Privacy Policy | Shows our office location on the contact page. | Google may set cookies when the map loads or when you interact with it. |
The site also uses your browser's session storage (which is cleared when you close the tab) to show a personalized confirmation after you book a meeting. That information stays in your browser and is not sent to our analytics tools.
Your cookie choices
- You can block or delete cookies in your browser settings. The site will still work, though the scheduling calendar may not load.
- You can opt out of Google Analytics on every site with the Google Analytics opt-out browser add-on.
- Our site does not currently respond to "Do Not Track" browser signals, because there is no common standard for them. We also do not track you across other websites.
How we share information
We share personal information only in these situations:
- With service providers that help us run the firm and serve clients. These include our custodian (Charles Schwab & Co.), a platform for managing held-away retirement accounts, financial planning software, e-signature, secure email and document storage, scheduling, website hosting and analytics, email delivery, and technology providers, including AI-enabled note-taking and productivity tools. They may use your information only to provide services to us, and they must keep it confidential.
- With people or companies you ask us to share it with, like your CPA or attorney.
- When the law requires it, such as a subpoena or court order, or an examination or request from securities regulators, including the Michigan Department of Licensing and Regulatory Affairs and the SEC.
- To protect against fraud, or to protect the rights, property, or safety of our clients, our firm, or others.
- If our firm is ever sold, merged, or transitioned to a successor adviser. In that case your information would be transferred under the same confidentiality obligations, and clients would receive notice as required by law and by their advisory agreement.
We do not sell personal information. We do not share it with other companies for their own marketing, and we do not do joint marketing with other financial companies.
Client information and your privacy rights
As an investment adviser, we follow the federal Gramm-Leach-Bliley Act and its privacy rules for the nonpublic personal information of our clients and former clients. We share client information only as those rules permit, for purposes such as servicing your accounts, processing transactions you authorize, and complying with the law. Since we do not share client information with affiliates or with nonaffiliated companies for marketing, there is nothing you need to opt out of. We treat former clients' information the same way we treat current clients' information.
Tax return information
We prepare tax returns for some clients. Federal law (Internal Revenue Code Section 7216) limits how tax preparers may use and disclose tax return information. We use your tax return information to prepare your return. We will not use it for any other purpose, or disclose it to anyone else, unless you give us written consent or the law otherwise permits it.
How long we keep information
Investment advisers must keep certain client records, including communications and account records, for at least five years, and sometimes longer. We keep client information for as long as those rules require and our work together calls for it. Inquiries from people who do not become clients are kept for a reasonable period so we can follow up, and then deleted unless we are required to keep them.
How we protect information
We use administrative, technical, and physical safeguards designed to protect your information. These include encrypted connections to this site, access controls on the systems that hold client data, and service providers that are contractually required to protect it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. We will never ask for your account passwords by email or text.
Your choices
- You can ask to see, correct, or delete the personal information we have about you. We will honor deletion requests unless we are legally required to keep the information, which is often the case for client records.
- You can unsubscribe from our emails using the link in the email or by contacting us.
- You can manage cookies as described above.
To make a request, contact us using the details at the bottom of this page. We may need to verify your identity before acting on it.
Children
This site and our services are intended for adults. We do not knowingly collect personal information from anyone under 18 through this site. If you believe a minor has sent us information, please contact us and we will delete it.
Links to other websites
This site links to other websites and services, including the client portal for our financial planning software, your custodian, and Calendly. Their own privacy policies govern what they collect, so we encourage you to read them.
Changes to this policy
We may update this policy from time to time. When we do, we will change the "Last updated" date at the top of this page. If a change materially affects how we handle client information, we will notify clients directly as required by law.
